Registration Policies

Section 1. All players, coaches, and other registrants, whether competitive or recreational, shall register with and abide by UUSC Articles of Incorporation, Bylaws, and Rules and Policies.

Section 2. Every player and coach on every team that participates or plays in programs administered, sponsored, supported, and/or sanctioned by UUSC must be registered with UUSC and OYSA/US Club Soccer. No player or coach may participate in any UUSC administered, sponsored, supported, and/or sanctioned activity unless they are registered with UUSC and OYSA/US Club Soccer.

Section 3. Registration fees for all players are due and payable to UUSC prior to such player's first regularly scheduled practice, unless otherwise provided for by the Board of Directors.

Section 4. A player is registered with UUSC from the moment that player or the player's parent or legal guardian completes the UUSC Online Registration Process as required and pays the appropriate fees to UUSC.

Section 5. UUSC shall be responsible for ensuring the proper registration of players, coaches, other volunteers and officials accurately accounting for fiscal transactions with prompt reporting of registration data and shall submit all forms and fees to OYSA/US Club Soccer on a timely basis.

Section 6. Formal registration of all players and coaches, recreational or competitive, shall take place prior to the season for which that registration pertains, whether it is fall, winter, spring, or summer. Competitive players must sign player contracts for commitment to that team.

Section 7.

All player accounts are required to be in good standing. Good standing means that all fees (registration, uniforms, tournament, team fees, etc.) are paid in full or a payment installment plan is in place and current.

UUSC may suspend a player's playing privileges during any period that their account is not in good standing and could result in termination of a Player's ability to play with UUSC. There are no refunds upon termination of an account.

In the event of a player leaving UUSC for any reason, their account is required to be paid in full before their player card will be released, including Club and team fees.

Tournament fees that are initially scheduled on a team's calendar will be shared with all team players whether they attend the tournament or not.

Any player, coach, and/or team determined to be in bad standing will not be allowed to participate in any UUSC authorized activities. Reasons for a player, coach, and/or team to be considered in bad standing include but are not limited to:

  1. non-payment of fees
  2. excessive disciplinary infractions
  3. actions deemed to be not in the best interest of UUSC
  4. non-compliance with UUSC Articles of Incorporation, Bylaws, and Rules and Policies

Section 8. UUSC must register with OYSA/US Club Soccer each and every player, coach, and team that is administered sponsored, supported, and/or sanctioned by UUSC, whether male or female, participants of a traveling team, competitive team, indoor team, or recreational team.

Section 9. A player registration fee will be established each season to pay for necessary program expenses including but not limited to an accident reimbursement plan, liability insurance, UUSC office administration, general operating expenses, field maintenance and development, and OYSA/US Club Soccer dues. UUSC is authorized to set its own registration fee, subject to approval by the Board of Directors. Only the UUSC President or the authorized agent that collects the registration fees can authorize a refund of any or all of the registration fees.

Refund Policy

Tryout fees are non-refundable and are not part of the registration fees. The tryout fees cover all associated costs, which include but not limited to, staff, fields and equipment. For competitive players: Once a player has been notified they have been selected for a team, the player will be required to make a deposit of team fees within 15 days of acceptance in order to hold their place on the team.

For recreational players: Players will not be placed on a team until all player fees have been paid. Once a player has registered, a $50 administrative fee is completely non-refundable. If a player cancels before the first games are played, registration fee less $50 is refunded. If UUSC is unable to place a player on a team, 100% is refunded.

Refunds for fees are only given to families that move out of the area more than 50 miles, or in the case of injury. The UUSC Board may approve other refunds due to other significant life events. There are no other exceptions.

Refunds for players moving out of the area will be prorated based on the duration they participated during the current season, less cost paid on behalf of player for insurance, player cards, etc.

A player with injuries may be eligible for prorated refunds of Club fees (less a $25 administrative fee) for the length of time they missed. For an injured player to receive a prorated refund they must have sustained a single injury that spans an extended duration and must provide a written note from a licensed doctor/health care provider who has evaluated them and deemed them to be unfit to return to play.

The coaching staff is subject to change and no coach is guaranteed for the entire season. Refunds WILL NOT be given due to coaching staff changes or unhappiness with a coach.

Team fees for tournaments and uniforms are non-refundable.

Section 10. While it is expected that all players or parents of players pay their way, it is recognized that some players may not be able to pay the full registration fee because of severe financial hardship. UUSC may set its own standards for waiving all or a portion of the registration fee. Such waiver policies shall be approved by the Board of Directors. OYSA/US Club Soccer portion of the registration fee cannot be waived except by application and a showing of severe hardship. Players or parents receiving a waiver of all or a portion of the registration fee are required to volunteer their services to UUSC in such areas as coaching, coordinating, fundraising or as needed for an amount of time commensurate with the amount of fees waived.

Section 11. Definitions

a. Registration - The signing of intent to play the sport of soccer and the paying of fees to become a participant of Umpqua United Soccer Club (UUSC) in the Recreational League or the Competitive League.

b. Registered Player - A participant whose parent or legal guardian has completed the UUSC registration. Unregistered participants are strictly prohibited from playing matches or practicing with a UUSC recreational or competitive team.

c. Rostering - Assignment of a registered player to a recreational or competitive team.

d. Recreational Team - Team for which the use of tryouts, invitations, recruiting or any like process to roster players on the basis of talent or ability is prohibited.

e. Competitive Team - A team formed on the basis of player ability or talent as determined through the use of a tryout that is publicly advertised and open to any eligible player who wishes to participate.

f. Player contract - formal contract committing said player to all season games, tournaments, and practices as deemed by the head coach.

g. Guest Player - A UUSC or OYSA/US Club Soccer registered player rostered on another UUSC or OYSA/US Club Soccer team participating in a competition or a tournament for a UUSC recreational or competitive team to which the player is not rostered as a result of tryouts for the purpose of league play and is substituting a rostered player's place on a single-game basis. Such guest players shall wear the substituted rostered player's official uniform. Guest player approval must be coordinated at least one week or seven (7) days in advance. All guest players must be facilitated by coaches during interclub guest play. All intraclub guest play must be approved by club DOC or TD.

g. Additional Player - A non-UUSC or non-OYSA/US Club Soccer registered and rostered player participating in a competition(s) or a tournament(s) for a UUSC competitive team to which the player is not rostered as a result of tryouts for the purpose of league play but is added to the roster after the midpoint of the competitive season. Prior to any such participation, an additional player(s) must pay a pro-rated registration fee.

In the event that a competitive team's number of originally rostered players drops to a point of jeopardizing the remaining competitive team's league schedule, the midpoint requirement of this Rule will be waived with prior approval from the Player Development Committee.

To prevent unauthorized access, disclosure and improper use of your information, we have established appropriate physical, electronic, and managerial safeguards to protect the information we collect in accordance with our privacy policy.

Your payment and personal information is always safe. Our Secure Sockets Layer (SSL) software is the industry standard and among the best software available today for secure commerce transactions. It encrypts all of your personal information, including credit card number, name, and address, so that it cannot be read over the internet." (etc.)

Furthermore, your credit card number, expiration date and CSV code is never stored in our systems.

Our systems are routinely scanned by a third party provider for security vulnerabilities in compliance with the policies of VISA / MASTERCARD.
